Manage sales credit notes
After you create a sales credit note, you can easily view it to see the invoices to which it is allocated, and you can also email or print a copy.
To view a credit note, go to Sales, and then click the required credit note. If the credit note does not appear on your list, click the All tab, and verify that the date range includes the date of the credit note.
From here you can:
- Print a copy of the credit note. To do this, click Print and then print it from your browser menu.
- Email a copy of the invoice to your customer. Click Email, edit the email message as needed, and then click Send.
- View the invoices to which the credit note is allocated. To do this, click the value under Amount Paid.
Tracking sales credit notes
To help you manage and keep track of sales credit notes, you can use the document timeline to view details such as when you created them, if you emailed or printed them, and when it was issued.
The document timeline will only display in sales credit notes created after 03/01/2019.
- Go to Sales.
- Click to open a credit note (must be dated after 03/01/2019).
- On the right-hand side of the page, hover over a status on the document timeline:

Created | Shows the date and time you created the credit note. |
Sent |
Sent as PDF. Shows as manually submitted. If you then email the credit note, it will change to emailed. Emailed. Shows the customer’s email address or addresses and the date and time you sent the email for all email addresses in the To and CC lines of the email. Green. Shows when at least one of the emails were sent. Red. If an email fails to be delivered. Note:
You may need to refresh the page to update this status. |
Viewed |
Shows the email address and date when the customer viewed the email. If tracking is important, you can clear the Include PDF attachment check box in the Email window. If your customer’s email provider doesn’t confirm when they view emails, the Viewed status doesn’t update. This means your customer may have viewed the sales credit note even if the status hasn’t changed. Note:
To use the Viewed status, you must email the credit note when you create it or when you click into the individual credit note. It is not possible to track the Viewed status if you email it from the Sales Credit Note page. |
