Edit, delete or reverse a journal

How to edit, delete or reverse a journal entered in error, or with the wrong date or amount.

When a journal cannot be deleted or edited, then entering a reverse journal adds a new journal with opposite values to cancel the incorrect one.

If you just want to change the ledger account on the journal, use the Corrections option. See Correct transactions

What you need to know

  • You must have full user access permissions.

  • You cannot edit a journal that has

    • Been included on VAT return.
    • Included on a bank reconciliation or is marked as cleared.
    • Been migrated from a previous accounting system.

    You will need to reverse the journal instead.

  • If the journal is dated before your lockdown date , change the Year End Lockdown date in Accounting Dates & VAT settings first.

Edit a journal

To edit a journal entry, please complete the following steps:

  1. From Adjustments, choose Journals, then open the relevant journal.

    Tip: to help find the correct journal-, enter some text in the search box or add From and To dates, then click Search.

  2. Click Edit.
  3. Make the necessary changes.
  4. Save your changes.

Change the order of journal lines

Select the dots to the left of each line to re-arrange the rows.

Delete a journal

  1. From Adjustments, choose Journals.

    Tip: to help find the correct journal-, enter some text in the search box or add From and To dates, then click Search.

  2. Choose the Delete icon next to the relevant journal entry.

Reverse a journal

  1. From Adjustments, choose Journals.

    Tip: to help find the correct journal-, enter some text in the search box or add From and To dates, then click Search.

  2. Open the relevant journal entry.
  3. Choose Reverse. This creates a new journal with opposite debit and credit values.
  4. Change the Details or Descriptionas required.

    The date and the amounts on each journal line of the journal should stay the same as the original. However, you may want to change the reference o add a description to show that this is reversing a journal entered in error.
