Trust Main Details
You can open the Main Details window in any of the following ways:
- Click the Details button on the Toolbar; or
- From the File menu, choose Main Details.
You can use Main Details to enter personal details about the currently selected client and to establish their rights and identity within Sage Taxation systems. The name and code of the client is displayed in the title-bar of the form.
Click on a heading to find out more about the boxes on each tab.
Client type - The client's type is displayed. You cannot change this.
Trust name - e.g. Smith's Catering.
Note: If you change the client's Trust name, Trust Tax will ask you if you also want to change their Correspondence and Report names. Select Yes to use the new default names, No to retain the current ones or Cancel to return to the Main Details form.
Trustee list- The names, client codes, start dates and end dates of all the trustees of the trust are shown in the list.
You can enter and change the Start Date and End Date for each trustee by clicking on the required date in the Trustee list and typing in the new one. These dates refer to when the trustee joined and left the trust respectively.
Trustees Details - View and edit the personal details of the trustee who is currently highlighted in the list. The trustee's Main Details form opens.
Add - Make another client into a trustee and add them to the list via the Client Lookup window.
When the Client Lookup window is opened from here, it has an extra button. The New button allows you to create a new client using the Add New Client wizard. Once you have completed this wizard, one of the Add new Individual wizard will open automatically.
When you have completed the wizard, you will be able to select this new client as a trustee.
Delete - Removes the trustee who is currently highlighted from the Trustee list.
Salutation - Enter the name of the trust that is used to informally contact or greet it.
Correspondence - Enter a name for the trust that will be used in correspondence with it or click Default to choose the default name.
Report name - Enter a name for the trust that will be used in Sage Taxation reports or click Default to choose the default name.
Client code - Enter a code for the trust or click Default to choose the default code. The client code must be unique.
Group under - Group the trust with other clients under an available heading by clicking Lookup to open the Description Lookup window. The Clear button deletes the currently selected description.
Billing code - Choose who will receive the bill for the work that you will do for the new trust. Click Lookup button to open the Client Lookup window and select a client or the Default button to choose the default Billing code. This is the new trust's Client code (thus assuming that you will charge this person for the work that you are doing).
Billing name - This is the name of the client who will receive the bill for the work that you will do for the new trust. It is defaulted when you select a Billing code and cannot be changed directly.
Address/Postcode - Enter the trust's address details.
Introduced by - Choose which trustee introduced the trust to the practice by clicking Lookup to open the Sage Taxation Users (trustees) window.
Telephone/Fax - Enter the trust's Telephone and Fax numbers. The two options are Day and Evening.
Mobile - Enter the trust's Mobile telephone number.
Email - Enter the trust's Email address.
Tax reference - Enter the trust's tax reference. The name of the tax district to which the reference is linked appears in the Tax district box when you select it.
Tax district - Enter the trust's tax district reference in the first, small box or use the Tax Districts window to find the name of the district and the corresponding reference. Click Lookup to open this window.
Unique Tax Ref. - Enter the trust's Unique Taxpayer Reference. The UTR has a check digit incorporated. Sage Taxation systems use this check digit to ensure that the tax reference which is entered is a valid one.
Password protect data with password - Tick the tick box and type a word or number in the box to the right of Password protect data with password to assign a password to the trust. You must retype the password to confirm it in the Confirm Password window. If you select the Cancel button in this window the original password that you typed in is deleted. Anybody who wishes to access the trust's data in future will be required to enter the password that you have entered. Select No if you do not want to assign a password.
Exclude client from Sage Taxation reports - If the trust's data is password protected then that trust will be automatically excluded from Sage Taxation Reports. This is signified by the tick box being greyed out and containing a tick. If the trust is not password protected then you can choose whether to exclude them or not by ticking the tick box.
If the trust is set up for Trust Tax the following details appear:
Client dealings: This is a list of who is responsible for the trust's tax affairs. Their client codes and names are displayed. You can choose who is responsible by clicking Lookup to open the Sage Taxation Users window.
