Create a New Custom Letter to Use with Microsoft Word

You can add new letter types to the Letter Generator using the Create New Letter wizard. If you want to be able to automatically generate letters of this type using Microsoft Word, you will also need to design a template for the letter using Word. All letters of this type that you generate will be based on this template.

  1. Select the Letters icon from the toolbar to open the Letter Generator.
  2. Click on Add Letter with the select mouse button and select the OK button.
  3. Complete the Create New Letter wizard.
  1. After you select Finish on the final page of the wizard, a blank template for this letter type will open in Microsoft Word.
  2. Use Word in the normal way to enter the text of your letter.
  3. At the positions in the letter where you want data for the appropriate client to appear, such as the client's name or address, you will need to insert a field representing that data.
  4. To add a field, select it from the Insert Merge Field menu. The field will appear at the cursor position. Only the fields that you specified for this letter type in the Create New Letter wizard are available.
  5. When you have completed the template for your letter type, save it by selecting Save from Word's File menu. This will save it under the name that you specified in the Create New Letter wizard.

Note: Do not change the name of the template when you save it. If you do, the Letter Generator will be unable to find it and you will not be able to generate letters of that type automatically.

  1. Close Word by selecting Exit from the File menu. The new letter type will appear in the Select Letter window.
