Transmit to Sage Accounts Production

Before you can transmit data to Sage Accounts Production, you must ensure you have configured the Data Link to do this. Click here to find out how.

 

Note: Only a Sage Taxation client with a Client Code can be transmitted to other applications. If you want to transmit a client which currently has no code, you will have to include one in their main details first.

Transmit from Control Centre into the Data Link

To transmit data to Sage Accounts Production, you need to select Transmit Clients on the Link option of the Tools menu.

This will open up the Data Link Transmit window where you can choose which client data you want to transmit.  All the clients available for transfer from this dataset will appear in the left hand field. Using the central buttons move all the clients you want to transfer into the right hand field, then click the Transmit button.

 

Note:  If you have your system configured to only transmit to an accounts production package, then individuals will not be transmitted from Control Centre, even if selected as they are not an applicable client type for accounts production.

 

This will copy the clients into the Data Link. Be aware that this does not mean they have been received Sage Accounts Production yet. You have to complete the process from within Sage Accounts Production itself.

In Sage Accounts Production, select Data Link on the Links option of the Utilities menu, this should open up the Data Link window.

Ensure you are viewing the Control Centre clients tab, then select all the clients in this window that you wish to receive. Now you can either choose to Create a new client or Synchronise the data with an existing Accounts Production client with the buttons at the bottom of the window.

If you choose to create a new client, then a new client dataset will be created under the Control Centre client's Client Code using the transferred data. The Create Dataset form will open up and you will be required to set the rest of the details as you would for any other Accounts Production client.

If you choose to synchronise your data with another client, you will be presented with a list of your Sage Accounts Production clients. Choose the client you wish to synchronise, and click the Sync. button at the bottom of the list. Doing so will transfer all of your Control Centre data into the appropriate fields on the Client Information forms, overwriting any existing information in these fields. Note that this will only work properly if the client was originally created with the appropriate master dataset (i.e. the one that is equivalent to the Sage Taxation client type of the received client). For example if you attempt to synchronise data from a Sage Taxation partnership with an Sage Accounts Production client created with a UK company master dataset, the transfer will not work correctly, information may be transferred incompletely or incorrectly.

Be aware that received partnerships and companies will show all their partners or directors for the lifetime of the business in Sage Accounts Production, you must delete any that are not currently serving in that capacity within the organisation.

Note: This version of Sage Accounts Production does not warn users that they have client data awaiting reception, so you will have to remember when you have client data ready to import. Whilst this will be redressed in the near future, if the practice has different staff working with Sage Taxation to those that use Sage Accounts Production, and you are transferring data from Control Centre to Sage Accounts Production frequently, it may be advisable to make it standard procedure for Sage Accounts Production users to check for Data Link clients using the above procedure every time they start up the application, in order to ensure transfers are not overlooked for long periods.
