The Letter Options window opens when you choose to Preview a letter type in the Select Letter window.
Letter Generation
The first section of the window informs you if a version of Microsoft Word has been detected on your computer:
- if one version of Word is detected - This version will be used to generate your letters.
- if more than one version of Word is detected - You must select which version of Word should be used to generate your letters from the available options.
- if no versions of Word are detected - A merge file of data for the clients that you select (see below) will be created. You must then mail-merge this information manually into a letter using your word processor.
Select Clients
There are four methods of selecting which clients for which to produce the letter:
- Select clients from a list - If you select this option, the Client Select window will open when you select the OK button. This allows you to specify exactly which clients you want to generate this letter for.
- All clients of applicable client types - This option will generate letters for all clients who are of a client type that is applicable to this letter type. Many letter types are not relevant to all client types. For example, the letter Return Acknowledgement (SA100) is only relevant to Individuals. You can set which client types a custom letter is applicable to when it us created and later using it's Properties window.
- Currently selected client only - This option will generate a copy of the letter for the client who is currently selected in the Client List only.
- Use the list of clients generated by the following report - This option will produce a letter for each client that is included in a specified report. For example, you could send a Bank Interest Information letter on behalf of clients who appear in a Clients with Bank/Building Society Interest report. Tax year
If the letter contains any figures or dates, you can specify a tax year in the spin-edit box from which these values will be taken.
Automatically set an Annual Processing Log date
Put a tick in this tick box if you would like Control Centre to automatically set an Annual Processing Log date for each client for whom you produce this letter. Select which date type you wish to set in the Date drop-down list, and enter the date you wish to set it to in the Set to edit box.
You can make the current date type the default associated with this letter type by ticking the Make this the default date for this letter tick box. This date type will always
be linked to this letter type in the future. You can still select a different date type using the Date drop-down list.
Preview the Letter
When you have selected the clients for whom you want to generate letters, select the OK button to continue with the letter generation process.
