Transmit to Sage Time and Fees

Note: This topic refers to Sage Time and Fees v3 and not the Time and Fees element of Sage Practice Solution.

Before you can transmit data to Sage Time and Fees, you must ensure you have configured the Data Link to do this. Click here to find out how.

Note: Only a Sage Taxation client with a Client Code can be transmitted to other applications. If you want to transmit a client which currently has no code, you will have to include one in their main details first.

Transmit from Control Centre into the Data Link

To transmit data to Sage Time and Fees, you need to select Transmit Clients on the Link option of the Tools menu.

This will open up the Data Link window where you can choose which client data you want to transmit. All the clients that you can transmit from this dataset  will appear in the left hand field. Using the central buttons, move all the clients you want to transmit into the right hand field, then click the Transmit button.

Note: If you are transmitting to both an accounts production package and a practice management simultaneously, then although you may select individuals to be transmitted, they will only be transmitted to the practice management application. This is because individuals are not an applicable client type for accounts production.

This will copy the clients into the Data Link. Be aware that this does not mean they have been transmitted to Sage Time and Fees yet. You have to complete the process from within Sage Time and Fees itself.

Receive from the Data Link into Time and Fees

On the Client menu in Sage Time and Fees, select the Data Link option, this should open the Data Link window. Ensure you are viewing the Data Link (selected using the icons in the left hand pane). This should show all the clients you transmitted from Control Centre. You must ensure that in the rightmost column you tick all the clients you wish to create as new clients at this time. You now have the option to either create or synchronise the clients you have selected using the buttons on the top toolbar. Note that you can only synchronise one client at a time, and that is the currently selected client (which does not have to be ticked).

If you choose to create new clients, you should receive a message informing you that the clients have been created and the process is complete.

If you choose to synchronise your clients, a list of Sage Time and Fees clients will be opened and you should select the one whose data you wish to synchronise, and the process will be completed.

Be aware that received partnerships and companies will show all their partners or directors for the lifetime of the business in Sage Time and Fees, you must delete any that are not currently serving in that capacity within the organisation.

You also should know that Sage Accounts Production and Sage Time and Fees are not currently designed to deal with corporate partners in partnerships, but the information is transferred into the most appropriate fields on these forms. The only thing that could be confusing is that Sage Taxation company names are put in the Surname field and the trading name appears in the Forename field, meaning that they both appear next to each other in the client's partners list.
