Description
Use Quick Entries to enter sales invoices and credit notes created in another system or by hand for one or more customers simultaneously.
Resolution
NOTE: You can’t print details of invoices or credit notes entered as Quick Entries. Use the Sales Invoices or Sales Credit Notes options for printable versions or to record the sale of a specific product or service.
After entering a quick entry invoice, record the customer payment as a customer receipt. For credit notes, allocate or refund them. The Sales Quick Entries list displays all invoices and credit notes entered. View the list by selecting Quick Entries from Sales.
From the quick entries list, you can:
- Enter a new quick entry.
- View details of an existing quick entry by clicking the relevant item. This shows all transactions entered for this quick entry.
- Edit an existing quick entry.
- Enter the customer name or quick entry reference in the Type to search box to find specific items.
- Filter the list by date by changing the From and To dates.
- Use the action toolbar to print, email, or export the quick entries list.
To add a Quick Entry
- From Sales, click Quick Entries.
- Click New Quick Entry.
- Enter the following information:
Type *
Choose Bill to add an invoice or Cr Note to add a credit note.
Date *
Enter the transaction date.
Customer
Choose the customer.
Reference *
Enter a reference, such as an invoice number from another system.
Ledger Account *
Choose the ledger account for this transaction.
Details
Enter additional information about the invoice or credit note, if necessary.
Subtotal
Enter the subtotal amount of the invoice or credit note.
Tax Rate
Choose the required tax rate.
Tax
The system calculates tax automatically based on the net amount and tax rate..
Total
The total value of the invoice or credit note calculates automatically.

- To add more transactions, repeat the steps above on the next line and click Save.
To edit a Quick Entry
NOTE: Entering several transactions in the same quick entry window shows other items in the batch when editing one transaction, but they remain unaffected
- From Sales, click Quick Entries.
- Click the transaction and edit the information as required.
- Click Save.
